How to Use ChatGPT, Claude and Copilot Safely with Your Email
This guide is for anyone with a Noiz-hosted mailbox who wants an AI assistant to help with their email: summarising a long thread, drafting a reply, or finding a message. It explains what the popular assistants can connect to, which routes work with a Noiz mailbox today, and what to check before you let any AI read business mail.
The short version: the built-in email connectors in ChatGPT, Claude, Copilot and Gemini are made for Gmail and Microsoft mailboxes. None of them offers a simple “connect any mailbox” option for a mailbox on your own domain hosted at Noiz. You can still use AI with your Noiz email safely, and the sections below show how.
Last reviewed: 13 October 2026, against the current releases of ChatGPT, Claude, Microsoft Copilot, Google Gemini and Apple Intelligence. This guide is written for Noiz hosting and is kept current against these services. It complements, and does not replace, the official documentation linked below. AI products change their features and plans often; where a vendor page differs from this guide, the vendor page is right.

Prerequisites
Section titled “Prerequisites”- A working Noiz mailbox and its password. If you need to set up an email app first, see How to Set Up Email in Microsoft Outlook, How to Set Up Email in Thunderbird or How to Set Up Email on iPhone or iPad.
- Permission from whoever is responsible for your business’s data, if the mail contains client or staff information. That may be you.
What the AI Assistants Can Connect To
Section titled “What the AI Assistants Can Connect To”A “connector” (ChatGPT’s own pages call them apps or plugins) lets an assistant sign in to a service and read from it, and sometimes act in it. For email, the built-in connectors cover the big hosted providers only.
| Assistant | Built-in email connectors | Connects to a Noiz mailbox? |
|---|---|---|
| ChatGPT | Gmail, Outlook | No built-in option |
| Claude | Gmail; Microsoft 365 (business Microsoft accounts only, not personal Outlook.com) | No built-in option |
| Microsoft Copilot app | Outlook.com, Gmail | No built-in option |
| Google Gemini | Gmail (Google accounts only) | No built-in option |
Two details worth knowing:
- Some connectors can send mail, not just read it. Claude’s Gmail connector can draft, send, reply and forward, and asks for your approval before each of these by default. OpenAI’s developer documentation says ChatGPT asks for confirmation in the conversation before a connector takes a write action. Treat a connected mailbox as something the assistant can act in, not just look at.
- Getting your Noiz mail into Gmail first is no longer a long-term route. Gmail on the web used to collect mail from other mailboxes (“Check mail from other accounts”). Google has stopped accepting new setups and is removing the feature in January 2027. See How to Access Your Plesk Mailbox in Gmail for what still works.
Safe Ways to Use AI with a Noiz Mailbox
Section titled “Safe Ways to Use AI with a Noiz Mailbox”Copy and Paste the Part You Need
Section titled “Copy and Paste the Part You Need”For most people this is the best option. Copy the text of one message or thread into the assistant, ask your question, and paste the answer back into your email app.
- The assistant sees only what you paste, nothing else in your mailbox.
- Remove anything it does not need first: account numbers, ID numbers, passwords, health details and other people’s contact details.
- To give the assistant a whole message with its headers, save or forward it as an attachment and upload the file. See How to Forward an Email as an Attachment.
Use the AI Built Into Your Email App
Section titled “Use the AI Built Into Your Email App”Some email apps have their own AI features, and a Noiz mailbox can be added to them like any other IMAP account.
- Apple Mail with Apple Intelligence. On a supported iPhone, iPad or Mac, Mail can summarise messages and threads, suggest replies and help you rewrite text. Apple’s Mail guide does not limit these features to iCloud mailboxes, so they should appear for a Noiz mailbox too; check on your own device. Apple says many requests run on the device itself, and those that need its servers use Private Cloud Compute, where your data “is not stored or made accessible to Apple”. The optional ChatGPT extension is off unless you turn it on, and asks before sharing anything. Device, language and region requirements apply: see Apple’s Apple Intelligence requirements.
- Microsoft Outlook with Copilot. Microsoft says that with a qualifying subscription (Microsoft 365 Personal, Family, Premium or Pro with AI credits, or a work account with a Copilot licence), Copilot works across all email accounts in Outlook, naming “third-party email providers such as Gmail, Yahoo, and iCloud”. It is not available in classic Outlook for Windows. Microsoft does not say whether this includes an IMAP mailbox on your own domain, so test it before you rely on it. Note that the newer Outlook apps can keep a copy of a non-Microsoft mailbox in Microsoft’s cloud to power their features, which matters if you need business mail to stay on Noiz infrastructure.
- Thunderbird has no built-in AI assistant at the time of writing. Thunderbird has described one (“Thunderbird Assist”) as still in research and development. AI add-ons in the Thunderbird add-ons catalogue are made by third parties, so apply the checks under “What Not to Do” below before installing one.
Custom Connectors (Advanced)
Section titled “Custom Connectors (Advanced)”ChatGPT and Claude can both connect to “custom connectors” built on the Model Context Protocol (MCP), an open standard for linking AI assistants to other systems. Someone could run an MCP server that signs in to your Noiz mailbox over IMAP and lets the assistant search it.
This is a technical, advanced option, and it is where the most risk sits:
- The server holds your mailbox password and can read everything in the mailbox. Whoever runs it has that access too.
- Both vendors warn about it in their own words. Anthropic: “Custom connectors allow you to connect Claude to services that haven’t been verified by Anthropic.” OpenAI says custom MCP servers “are not developed or verified by OpenAI” and warns about prompt injection: a message in your inbox written to trick the assistant into sending your private data elsewhere.
- Plan rules apply. Claude allows custom connectors on all plans (one on Free). In ChatGPT, adding your own connector is a developer feature limited to certain plans and controlled by workspace administrators; check OpenAI’s current documentation for your plan.
Only use a custom connector you, your IT provider or a supplier you already trust actually runs, give it the narrowest access it allows, and keep the assistant asking for approval before it sends or deletes anything. Trusting whoever runs it protects your password, but not against prompt injection, so keep approvals on for every send, forward or delete.
What Not to Do
Section titled “What Not to Do”- Do not give your mailbox password to an AI service or browser extension you do not know. Your Noiz mailbox password opens the whole mailbox, and for sending too. If you have already entered it somewhere you no longer trust, change it now: see How to Change an Email Account Password in Plesk.
- Do not forward all your business mail to a personal Gmail account just to use Gemini or a connector. Every message, including clients’ personal information, then sits with another provider, usually outside South Africa or the EU. Under South Africa’s POPIA, sending personal information to a third party in another country is restricted by section 72 unless conditions such as adequate protection or consent are met. EU and Irish businesses face the equivalent GDPR transfer rules. If you need this, decide it deliberately, record it and tell the people affected where required.
- Do not leave “send” or “delete” actions on automatic. Keep approval prompts switched on so you see each message before the assistant sends it. A message written to trick an assistant works much like a phishing email; see How to Identify Spam and Phishing Emails.
Check the Privacy Settings First
Section titled “Check the Privacy Settings First”What the provider can see is whatever you paste, upload or connect. What happens to it afterwards depends on your plan and settings.
| Assistant | Personal plans | Business plans |
|---|---|---|
| ChatGPT | May be used to improve models unless you turn off Improve the model for everyone in the data controls settings (OpenAI). Your choice also applies to data from connected apps | Check your workspace’s data settings and terms with your administrator |
| Claude | Used for training only if you allow it; the setting is under Settings > Privacy (Anthropic) | Team and Enterprise are not used for training by default (Anthropic) |
| Microsoft Copilot | Microsoft documents training opt-outs (Training on conversation activity) for the older Copilot app only (Microsoft). In the current app, check Settings > Privacy, and treat anything you share as potentially used to improve the service until Microsoft documents otherwise | Work accounts: prompts and responses “aren’t used to train foundation models” (Microsoft) |
| Google Gemini | A subset of chats is read by human reviewers; Google asks you not to enter anything you would not want a reviewer to see (Google) | Workspace accounts are not reviewed by people or used for training without permission (Google) |
Feedback is a common exception: rating an answer with a thumbs up or down can let the provider use that conversation even when training is off. If you handle client data, a business plan from the provider is the safer choice, and it is worth checking its data processing terms against your POPIA or GDPR obligations. For the wider privacy cautions around AI tools, see Practical Ways to Use AI with WordPress.
Before you send anything to an assistant, ask yourself whether you would be comfortable if a stranger at the provider read it. If not, cut it down or leave it out.
Troubleshooting
Section titled “Troubleshooting”- Symptom: the assistant’s email connector only offers Google or Microsoft sign-in. That is expected; the built-in connectors do not accept a Noiz mailbox. Use copy and paste or your email app’s own AI instead.
- Symptom: Copilot does not appear for your Noiz mailbox in Outlook. Microsoft documents Copilot for third-party accounts only in the newer Outlook apps and only with a qualifying subscription. Classic Outlook for Windows is not covered. Your mailbox still works normally; only the AI feature is missing.
- Symptom: Apple Mail shows no summaries. Check the device, language and region requirements on Apple’s Apple Intelligence requirements page.
If you are unsure whether a tool is safe to connect to your business mail, contact Noiz support before you enter any password. Include the name of the tool and a link to it, and the support team can tell you what access it would get to your mailbox.
